Hospital document management – a bundle of benefits

Sunday, July 20th, 2008

A niche healthcare provider, Rajendra Nursing Home (RNH) in the recent past expanded its line of healthcare services. This resulted in the growing need of shifting their medical records to an electronic documentation system since storage of documents such as maintenance of patient records/case sheets were becoming a burden. In addition, substantial human resources required to manage, track and retrieve medical records was turning out to be a significant overhead expense for the hospital. Further, administrators, physicians, and nurses were in increasing need of patient data/case sheets round-the-clock.

Solution

To overcome these problems, RNH opted for SA-H.I.S document management, an enabler for document archival system for hospitals. The ready to use solution assisted the hospital to integrate their data with ease. Initially, physicians had a tough time to access patient case sheets especially during emergencies. Now doctors and administrators are able to view records on their computer screen itself as the module enables quick conversion of documents with the help of a standard desktop scanner.

Benefits

From the administrative and clinical standpoint, adoption of this system has offered a multitude of benefits. SA-H.I.S which is built on windows XP client supporting 1- 100 users on the readily available Linux server platform is an affordable and reliable software solutions for hospital document management needs. Some of the key benefits

  • Over 100,000 patient visit information available for use in diverse departments – savings on each patient visit

  • Safe data backup/secondary storage on CD media.
  • Easy retrieval of data from one or several departments.

2. Why did you choose Software Associates

We had tried three software providers and were not happy with post sales service. We were looking for some one who can bring in value through software into our practice. Came across Software Associates through web. We reached them and the initial interactions were good. But still we wanted to be doubly make sure and we made a trip to Kozhikode office. We interacted with their clients, end users and also found about their emphasis on quality product. Super post installation and support and above all extremely good work ethics. They were our obvious choice.

3. Software Associates is different..

a) Good Domain knowledge
b) Excellent Team
c) Quick grasp of subject
d) Least time that a client needs to spend to communicate to them – their domain knowledge
e) Clear Communications
f) Delivery of products on time and as required
g) We hear “yes” from them more number of times than from our earlier service providers.

4. Immediate benefits of installing SA-H.I.S

a) An excellent system of patient management
b) Predictable work in spite of staff rotations
c) Patient waiting time has reduced
d) Appointment system streamlined
e) Communication gaps of conventional system are fully eliminated

5. Administrative Benefits : Too good. I feel to have good control of situation.

a) Operating expenses : Hope to cut it down by 20 to 40%. It is early to comment now.
b) Accurate billing : A great benefit.
c) Lower Inventory : It may take 2 to 4 months.
d) Pilferage control : Yes. We have done it 100% . Peace of mind.
e) Monitoring : Very important benefit. While away, I feel too comfortable as my organization can be monitored easily through net, SMS.
f) Long term planning : The statistics and success and failure of our various projects can be
monitored through analysis and reports. Helps in long term planning.

6. Patient Satisfaction

It has created a ‘wow’ effect. They feel that they are being pampered after implementing
the patient flow management system. The document management system allows easy
access to past visit records.

7. Management Benefits

Happy patients, happy employees, a silent but fiercely competent H.I.S as the back bone of all this is truly an asset for management. Management gets all the important inputs from the data and can implement its vision through a systematic H.I.S.

8. Doctor Benefits

Patient data management, analysis of patient patterns, disease statistics, patient time monitoring, doctor efficiency monitoring. In brief within seconds to minutes, we get data at our desktop.

9. Organisation perception

An excellent decision of choosing Software Associates. They delivered beyond our expectations.

10. Which departments are most benefited

Nearly all departments.

11. Which departments are least benefited

We cannot think of any.

12. What would be approximate overall cost savings on using HIS in your organisation

It is a little early to comment on this now. May be after six months.

13. How much management time is saved every day

Yes, approximately 60 – 70%. We could not believe ourselves. It is simply peace of mind.

Why not when Software Associates can design something which can do so well !!
