Importance of Dashboard in H.I.S

Thursday, May 13th, 2010

Hospitals are complex organizations which have huge data  generated from several sources. All these  can range form simple to critical but having a crucial impact on the performance of hospitals. There is always a need of collection, storage, segregation of the segment specific data in several levels and analyze them. The process does not complete here, for effective management practices we need to put the analysis in to a format which is easy to decipher and quicker to represent for management decision.

Dashboard is the tool which serves the purpose. Dashboards can be as simple as an editable white screen with prominent numbers with specific/particular headings or could be as complex as a multi bar diagram to a line graph , part whole relationship or a pie chart. The charts and graphs provide visual inputs for quicker grasping and interpretation. How is it important ?

There are many areas in the hospital operational front which need to be constantly monitored and the indicators of the performance of those areas are called key performance indicators (KPI), A key performance indicator may be related to a clinical  or operational performance.  Lets take an example, if your hospital has set a performance area and want to put it under surveillance e.g. the indicator of average length of stay (ALOS) then a dash board can be an excellent to continually monitor the same.  Its needless to mention that ALOS monitoring is an important aspect of hospital administration because it gives an indication of operational excellence. A normal average set and a deviation from that, for that indicator would certainly help the management to take quicker analysis and quicker action saving many man hours and resources in all possible ways.

Q. What is EMR

EMR is an acronymn for Electronic Medical Records. This refers to a paperless, digital and computerized system of maintaining patient data, designed to increase the efficiency and reduce documentation errors by streamlining the process. Implementing EMR is a complex, expensive investment that has created a demand for Healthcare IT professionals and accounts for a growing segment of the healthcare workforce.

Digital records kept by your doctor's office, your insurance company or the facilities where you are a patient, are called EHRs (electronic health records) or EMRs (electronic medical records.) Both names are used interchangeably.

EMR systems are intended to keep track of a patient's entire health and medical history in a computerized, electronic format. By keeping these potentially vast records in this manner, they are more easily retrievable, and can make a patient's navigation through the healthcare system much safer and efficient.

EMRs are comprised of two kinds of records. Older records, generally pre-1999, are usually scanned and stored in a graphic (jpeg) format or pdf. These might include anything from doctors' notes to x-rays or other test results such as ultrasounds or MRIs. Since some of those records were recorded by hand, some may be illegible.

More recent records may be electronically native. That means they were never stored in any fashion except as a digital record. If your doctor records notes as you talk, or if you are issued a prescription from a computer printer, then your current records are being kept natively in digital form.

Management participation is key to success in any hospital implementation

Friday, March 20th, 2009

If one were to list the key ingredients of success in an ERP solution for hospital it would be as follows

# Management participation
It is not about installing a software package. It is about changing bad habits and transforming old ways of doing things. Without the support from top management, the real benefits are never realised and organisation would not have its vision trickle down to the bottom of the pyramid.

# Human resource management
A progressive organisation needs a motivated team – an asset to any organisation that is willing to learn ; change for the better.

# Training
As new people join, knowledge acquisition is often unstructured and incomplete. Hospitals need to adopt the approach of continuous training to help provide better patient experience.

# Implementation skills
Need people who can see eye to eye with the end user operators. Someone who can explain the operations in their language. No jargons, no frills approach recommended.

# Work to a project plan
Avoid last minute surprises. The war is always won before the battle. A detailed plan on a spreadsheet with the nitty gritties would help a long way in on time execution.

# Expertise
The vendor should have the right consulting expertise and business knowledge in guiding the hospital ; the maturity to handle exceptions ; promising 100% delivery.

# Error free software
A tried and tested solution that works error free from day one. Any critical errors in the initial phase would have catastrophic consequences on the morale of the end users.

Hospital technology hype cycle

Thursday, February 12th, 2009

Does technology really matter ?

Often we do get calls from prospective clients who buzz about technology before deciding on software products for the healthcare sector. Typical questions include

  • Is your product built using eclipse or Visual Studio tool
  • Does your product use X or Y rdbms
  • Is your product a web based point of sale application
  • Do you provide unlimited customisation

What matters

  • Contribute to overall return on investment (Ask for value chart)
  • Improve hospital business processes – Process chart for hospitals
  • Enhance patient experience – Reduction in patient wait time
  • Have low cost of ownership (TCO) (thin client for eg; lower operating power)
  • Scalable to support the growth of the hospital
  • Secure enough to hold your valuable data
  • Transparent and ethical on the licencing aspects of the software
  • Constant updates and release upgrades -
  • Be affordable to hospitals in emerging nations – India
  • Zero maintenance cost for software vs cut and paste programming
  • Be self running as hospitals cannot afford dedicated IT departments
  • The software must guarantee return on investment
