Below given is a case study on hospital management system installation at one of our clients in South India.
About the hospital
A 100 bed multi-specialty hospital in Southern India. The hospital was using an old hospital management software since 2007. During the gap analysis, we observed that the old software had only 30% features when compared to Vikas- an advanced hospital management system India. Though they were using the software a major part of daily activity where done manually using papers. Their major pain points were.
Configuration of new features or upgrades took hours
Inadequate management of data
Multiple desktop icons to access features
Inferior support system
Vikas is an advanced hospital management system which consists of all the key features enabling transparency in operation and that meets organisation growth plans. The hospital management software, Vikas was installed successfully within 40 days. Dedicated support was provided to manage the software change at various departments. The major achievements are given below.
The easy patient registration
The registration process which took 10 minutes per patient was reduced to 1 minute per patient. This saved huge amount of time and reduced the effort at front office. The software helped to remove all the physical records saving the space required for archiving the documents and the maintenance cost related to that.
Increase in OP revenue
Since there were no proper means to validate first OP visit, a sizeable revenue collection was lost on repeated OP visits. With the alert mechanisms in Vikas, revisits were easily identified which enabled timely fee collection. This also prompted patients to utilise the free consultation within the validity period.
Access to report
With the software capturing all the key medical and operational information, a wide range of reports can be generated using Vikas. This provided access to quality information at departments and at managerial level.
Faster settlement of daily collection
There were wide pilferage with manual book keeping and inability to track the patient dues added to the losses. Since the unpaid bills must be verified, it took nearly 1 hour to settle the collection at the day closing. With the new system, the processes were automated which made it easy to track the bills and dues. It takes less than 15 minutes to settle the collection at the day closing.
Better patient safety
Previously, test request were done manually and the software was used only to enter test results. The manual process increased the room for errors. In Vikas the laboratory is integrated with EMR. This reduced the paperwork and time required for test request. Above this, the direct machine interfacing and barcoding facility offered by Vikas eliminated manual result entry and provided better patient safety.
Faster claim settlement
Earlier the insurance process was done manually which delayed claim approval and settlements. There was no means to track the backlogs. The specialised module for insurance in VIKAS enabled easy insurance processing with single click. All the mandatory documents required as per the TPA companies are checked using the system before submitting the claim which reduced claim rejection cases. Insurance backlog can be easily tracked which enabled prompt action.
Other main achievements include efficient room utilisation, optimised pharmacy, better asset management and so on.
